March 27th: Email Update Sent to All FIA Tech Users
Dear FIA Tech users and customers,
Because of the rapidly changing coronavirus situation, here is an update of the actions taken to ensure FIA Tech can support our clients and protect the health of our employees, their families and their communities. We are also concerned for the well-being of our key business partners and clients.
- FIA Tech enacted the Pandemic portion of our BCP on 24-January-2020 and began daily monitoring of the coronavirus situation
- All FIA Tech personnel have been working remotely since early March via company provisioned IT equipment, securely communicating on our internal networks via VPN. There has been no significant disruption to current operations since this was enacted.
- All FIA Tech employee and contractor business travel has been suspended until further notice
- FIA Tech employees with personal travel plans have been advised to exercise extreme caution and monitor advisories from the WHO, CDC or other local health authorities in determining whether to alter those plans.
- As school closures and other quarantine measures have occurred around the country and in our own communities, flexible work hours and other arrangements are being offered to FIA Tech employees to help them meet these new challenges
- We are in continuous communication with critical offshore providers to ensure full visibility into their operational status and current preparedness planning. There has been no significant disruption to their ability to provide contractually obligated services.
- A risk assessment of all critical FIA Tech staff has been performed where prolonged absence might impact business operations. Included in this assessment are the appropriate short- and long-term remediation actions including cross-training or staff augmentation. A similar risk assessment on critical suppliers has also been performed to identify and remediate potential third-party vendor risks to our operations.
We want to assure all clients that we intend to stay ahead of the situation as much as possible. If you have any questions regarding our coronavirus preparedness, or our overall BCP processes, please don’t hesitate to reach out to Pat Lefler (plefler@fia-tech.com).
Thank you,
FIA Tech Client Services
March 10th Update: Washington DC Area Staff Instructed to Work From Home
March 6th: Coronavirus Preparedness Statement
FIA Tech Customers and Partners,
As many firms are enacting BCP plans due to the novel Coronavirus, we wanted to let our clients know of the actions we’ve taken over the past few weeks to ensure we are able to support our clients and protect the health of our employees, their families and their communities. We also are concerned for the same for our key business partners and clients.
As a firm predominantly based in cities with significant global travel, we’ve been closely monitoring the Coronavirus outbreak since initial reports from China. We also have key partners for offshore support in India and offshore development in Latvia, and we’ve been closely monitoring the situation in those locales as well.
In preparation for events such as this, FIA Tech had already ensured that all employees could work from home via company provisioned IT equipment, securely communicating on our internal networks via VPN. This preparation has allowed us to enact preventive measures for our staff without significant disruption to our operation.
Currently, we have enacted the following:
- We enacted our pandemic preparedness plans, including daily monitoring of Coronavirus spread beginning January 24th
- As of March 3rd, we instructed all NY area employees to work from home. This will be reviewed on a weekly basis as more information on the risks in the NY area are known.
- All Washington, DC based employees have been given the flexibility to work from home or shift their commute times to avoid crowded buses and trains. As there have not been reports of community spread in the Washington DC area, we are still allowing employees to work from our DC office but are monitoring the situation closely.
- FIA Tech employee and contractor business travel has been suspended until further notice
- Any employees with personal travel plans have been advised to exercise caution and monitor advisories from the WHO, CDC or other local health authorities in determining whether to alter those plans. All employees that do take vacations which involve airline travel, buses, trains, etc., have been directed to self-quarantine (work from home) for a 14-day period following their return.
- Any employees who have contact with high-risk persons are required to self-quarantine (people who have traveled in known areas with community spread)
- We are in continuous communication with our offshore partners to ensure we have visibility into their preparedness plans.
In addition to the above, we have performed a risk assessment to identify critical employees where their prolonged absence might impact business operations. Included in this assessment are the appropriate short- and long-term remediation actions including cross-training or staff augmentation. We have also performed a similar risk assessment on critical suppliers to identify (and remediate) potential risks to our operations.
Lastly, we want to assure all clients that we intend to stay ahead of the situation as much as possible. If you have any questions regarding our Coronavirus preparedness, or our overall BCP processes, please don’t hesitate to reach out to Pat Lefler (plefler@fia-tech.com).
Thank you,
FIA Tech Client Services
