From UserHub, administrators can generate a report of all the users they manage and their permissions. This report can be generated on demand.
Accessing UserHub and Generating the User Account Report
Although user accounts for Docs are managed within the Docs>Admin menu, the User Account report is accessed through UserHub. For users with admin privileges to other FIA Tech applications, including OCR, Atlantis, and TDN, this User Account report will contain information on all users they are authorized to manage.
The User Account report is generated from the Reports menu in UserHub, it can be exported either as a CSV or Excel file. Upon selecting "Download Report", the system will generate a file that reflects the user permissions at the time of the download. If your file is successfully generated, you will receive a success message on your screen, and the file will become available like any other download.
Understanding the User Account Report
When opened as an Excel file, the report contains two tabs, "Users" and "UserRoles". The "Users tab contains information on user accounts, including when the user last logged in and when the account was created. The UserRoles tab, on the other hand, contains details on what permissions a user has to each party.
Users Tab:
Columns A through J contains information for identifying the user, including user name, first name, last name and email address. This data is also displayed in the give-up agreement itself for users that are designated as documentation or billing contacts for a specific party.
Also available in this report is information on when the account was created and last accessed. The "Last Login" and "Created" columns contain time stamps recorded in UTC. As a result, these time stamps will always be the same regardless of the location of the user generating the report.
Additional information contained on this tab are the "Is Active?" and "Is Verified?" columns that contain either a Yes or No value represented by Y and N.
- Is Active? indicates whether or not the user account is active. Inactive users cannot log into the application, and do not display in the Docs User Directory.
- Is Verified? provides an indicator to signal whether or not a user account has been verified. In order to ensure that all created accounts contain valid emails, an activation link is sent each time a user account is set up. Only verified users can sign into the application.
User Roles Tab:
On this tab you will find information on which permission (referred to as Role in this report) the users in the Users tab have for each party. Each row in this tab corresponds to a permission and party combination. Users with multiple roles for multiple parties will therefore appear on several rows. Please see below for an example of what the results look like for the sample user "Lara Croft"
